This Privacy Policy explains how FCR-Owl collects, uses, and protects your personal data. We are committed to handling your information in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

FCR-Owl is a UK-based software company providing a data platform for LPA receivership professionals. We are the data controller for personal data processed through this service.

2. What data we collect

We collect the following categories of personal data:

  • Account data: your name and email address, collected when you create an account via our authentication provider (Clerk).
  • Payment data: subscription and payment information processed by Stripe. We never see or store your card details — all payment data is handled directly by Stripe.
  • Usage data: information about how you use the platform, including pages visited and features used, for the purpose of improving the service.
  • Professional context: information you enter into the platform relating to receivership cases, which may include details of third parties sourced from public registers (e.g. Companies House).

3. Why we collect it (lawful basis)

  • Contract performance: to provide you with access to FCR-Owl and the features included in your subscription.
  • Legitimate interests: to improve the platform, prevent fraud, and ensure the security of the service.
  • Legal obligation: to retain payment and transaction records as required by HMRC and applicable tax law.

4. How long we keep your data

  • Account data: retained for as long as your account is active. If you delete your account, your personal data is removed within 30 days except where we are required to retain it by law.
  • Payment records: retained for 7 years from the date of the transaction in accordance with HMRC requirements.
  • Usage data: retained in anonymised or aggregated form for analytical purposes.

5. Your rights

Under UK GDPR you have the following rights in relation to your personal data:

  • Access: request a copy of the personal data we hold about you.
  • Rectification: ask us to correct inaccurate or incomplete data.
  • Erasure: ask us to delete your personal data in certain circumstances.
  • Portability: receive your data in a structured, machine-readable format.
  • Objection: object to processing based on legitimate interests.
  • Restriction: ask us to restrict processing in certain circumstances.

6. Cookies

FCR-Owl uses essential cookies only. These cookies are strictly necessary to provide the service and cannot be disabled:

  • Authentication cookies set by Clerk to keep you signed in securely across pages.

We do not use advertising cookies, tracking cookies, or any third-party analytics cookies that identify you personally.

7. Third parties we share data with

We use the following sub-processors, each of whom is GDPR-compliant and operates under an appropriate data processing agreement:

  • Clerk (clerk.com) — authentication and identity management. Stores your name and email address.
  • Stripe (stripe.com) — payment processing. Handles all card and subscription billing data. FCR-Owl never receives your full card details.
  • Supabase (supabase.com) — cloud database hosting for platform data. Data is stored in the EU (AWS eu-north-1).

We do not sell your personal data to any third party.

8. Data security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. All data is transmitted over HTTPS and stored with encryption at rest.
